A per diem is a fixed amount of money given to employees to cover lodging, meals, and incidental expenses. This simplifies the reimbursement process and sets clear spending expectations. For example, the current standard per diem rate is $151, which includes $55 for meals and incidentals and $96 for lodging. These rates can be found on the GSA website at gsa.gov.

Employers can choose to provide this per diem upfront or reimburse expenses after travel. While upfront payments might seem convenient, they come with risks like reclaiming funds in case of canceled trips. A reimbursement system is often more secure, allowing verification that the trip occurred as planned before disbursing funds.

It's also crucial to set policies for expenses that exceed the per diem rate, as any surplus becomes taxable income. Clearly communicating these policies will prevent any surprises during payroll processing. Implementing per diem rates isn't about being stingy but about responsible financial management. It offers predictability in cash flows and prevents misuse of company funds. Approval may be needed for expenses that surpass the standard per diem rate to ensure that any extraordinary costs are justified.

By adopting structured approaches like the GSA per diem rates, maintaining meticulous records, and defining clear expense policies, businesses can simplify this aspect of financial management.
